They were great at bookkeeping. The process was killing them.

Every month, the same grind. Clients would send over bank statements as PDFs — sometimes five, sometimes twenty. Each one had to be opened manually, scrolled through line by line, and typed into a spreadsheet. Dates, amounts, descriptions, categories — all done by hand.

For one client it was manageable. For twenty clients it was a part-time job on top of the actual work. The bigger the business got, the more time disappeared into a process that had absolutely nothing to do with bookkeeping expertise.

The worst part? They were undercharging. Billing hourly meant clients pushed back on time. The bookkeeper was absorbing the inefficiency cost entirely — spending hours on data entry and only billing for a fraction of it because they didn't want to lose clients over high invoices.

This wasn't a time problem. It was a business model problem.

The issue wasn't just efficiency — it was the entire pricing structure. Billing hourly puts a hard ceiling on income and creates friction with clients on every invoice. The real opportunity was to flip the model completely.

If we could automate the data extraction, the bookkeeper stops trading time for money. Instead of billing per hour of painful manual work, they could offer clients a clean subscription — a monthly fee to have their statements processed, categorized, and export-ready automatically.

Drop any bank statement PDF and the platform reads it automatically — pulling out every date, description, and amount with no manual input. Works across 100+ banks and card issuers including TD, RBC, Chase, Amex, and more.
AI Smart Tagging
Built-in AI reads each transaction description and automatically suggests the right expense category — Marketing, Payroll, Travel, Software, and more. Every suggestion is editable. The AI learns the pattern so clients barely need to touch it after the first run.
Interactive Dashboard
A clean, fast dashboard where clients review their transactions, flag anything, add notes, and see per-category totals calculated automatically. No spreadsheet formulas, no manual adding up — it's all done live.
One-Click Export to Every Tool They Already Use
Export to Excel, CSV, or directly into QuickBooks, Xero, FreshBooks, Wave, Google Sheets, Stripe, Shopify, and more. The data goes exactly where it needs to go, formatted correctly, with zero reformatting.
Privacy-First Architecture
All processing happens in the browser. Files are deleted within 60 seconds. Nothing is stored server-side, nothing is used for training, nothing leaves the user's device between sessions. For an accounting tool handling sensitive financial data, this was non-negotiable.
Subscription Pricing Strategy
We designed three tiers — Starter at $39/month, Professional at $99/month, and Business at $199/month — structured around "data pages" so clients naturally upgrade as their volume grows. Annual billing with a 30% discount was added to lock in retention. This pricing model was built from scratch specifically for this business.

The business didn't just get faster. It got completely transformed.

Before DocuBalance, processing a client's monthly statements took hours. Now it takes under five minutes — drop the PDF, review the AI suggestions, export. That's it.

But the bigger shift is the revenue model. Instead of invoicing clients hourly and fighting over time, the bookkeeper now offers a clean monthly subscription. Clients get predictability. The bookkeeper gets recurring income that doesn't require trading more time to grow.

Adding a new client doesn't mean adding more hours anymore. The platform handles the extraction and categorization automatically. Growth stopped being painful.

The platform also opened up a new market entirely. Other bookkeepers and accountants who aren't even the original client's customers can subscribe to DocuBalance directly. What started as an internal tool became a standalone SaaS product with its own user base.
